It is in this light that the Sacred Heart Seminary community has set out into a much deeper reflection, not individually but together as one whole entity. Journeying together with one mind and one heart, the priests, seminarians and the lay members of the seminary sat down and reflected together to look for the proper answers and fitting solutions to the depressing need of an adequate formation that is relevant to the contemporary situation, from the global down to the domestic. With the help of a competent planning consultant, the Sacred Heart Seminary went through a workshop-seminar that sought to map out a clear and distinct direction for the next five years. First, the Seminary Fathers embarked a five-day seminar, from April 18-, 001, to formulate the initial outlay of the Sacred Heart Seminary five-year formation plan. Then the rest of the community, the seminarians of the three departments (High School, Pre-College and College); the members of the Faculty; and the Support Staff (both office and kitchen and other auxiliary personnel) joined together for another three days from April -5. For eight straight days, the Sacred Heart Seminary community lived and moved together in prayer and discernment. The whole seminary community journeyed together, hand in hand, in understanding and complementing each other in all their levels of formation - both formators and formandi, reflected and deliberated on the issues and questions besetting the different dimensions of priestly formation with the pursuit of finding solutions and looking for answers.


THE SACRED HEART SEMINARY AS A SYSTEM7


The first result of that workshop experience was the identification of the existence of an organizational system. Bringing into consciousness that a system must first come to the fore before anything else. A system is a structure or organization of an orderly whole made up of a number of parts, elements or functions, related to each other and to the whole in such a way that each part and the totality of the parts work together to accomplish a specific mission (Ryan 17).


The Sacred Heart Seminary exists as a system. It exists as an organization that is connected to complex social systems. It is an integrated whole made up of diverse but interdependent parts that work together in view of a purpose to be obtained. If changes occur in one part of the system, these will have effects across the entire organization. The interdependence of the components in a seminary system is a conclusion by way of induction affirmed by experience. The interactions and interdependencies among the parts are as important as the individual parts themselves, thus, leading to the principle that the total systems is larger than the simple total of its parts.


The Focal System


The focal system of the Sacred Heart Seminary (SHS), the system of study or interest, which is made the focus or locus of investigation for the purpose of organizational planning is divided into three () major subsystems The Formators, the Formandi and the Support Staff. Each of the subsystem is in turn divided into smaller component systems. The Formators subsystem of the seminary include both the ordained and the non-ordained persons responsible for the life, growth and training of young men desiring to become future priests. For the non-ordained formators, these include the religious sisters and the lay members of the faculty. Through their professional assistance in teaching and other forms of apostolate, they collaborate according to their competence with the priests in molding the seminarians.


In the present setup, the SHS has twelve ordained formators (10 priests and deacons). Eight of the priests are residing inside the seminary. Among the eleven (11) non-ordained formators, one is a religious nun serving as principal of the High School Department and there are ten (10) lay members of the faculty of the High School and College Departments.


The subsystem of the Formandi are the three groups of seminarians belonging to different levels - the High School Department, the Pre-College Department and the College Department. At present, there are 51 high school seminarians, twelve (1) freshmen; nineteen (1) sophomore; thirteen (1) juniors; and fourteen (14) graduating students. There are no Pre-College seminarians for this academic year. The College Department has 7 seminarians, there are nine () AB-I; nine () AB-II; fourteen (14) AB-III; and five (5) AB-IV.


The Support Staff subsystem is divided into two groups the Office Staff that helps in the work of the offices of the seminary such as the Principal/Dean/Registrars office, the Procurators office and the seminary library. The Auxiliary Staff takes care of the needs of the seminary kitchen and the whole physical plant maintenance. At present, there are three (4) office staff members and fifteen (15) auxiliary people working in the seminary.


The Macro System


The macro system of the Sacred Heart Seminary are the related systems, which are not at all parts of the focal system but are rather components of a larger system. Though they are autonomous of the focal system their existence and operations, however, affect it.


The subsystem groups belonging to the macro system are those people, institutions, establishments, communities and the like, that somehow relate in any way to the seminary or vice-versa in connection with the general life and growth of the SHS. The SHS cannot live absolutely by herself. In one way or the other, the SHS has to deal with the related entities of the macro system in one or several dimensions that touch and influence the formation process of the focal system. Of utmost importance is the Families and Benefactors of the seminarians. The parents and other members of the family to which every seminarian belongs is considered very significant to the SHS. The Archdiocese of Palo, the Bishop the Clergy, the SJEST theological seminary, the Religious, the Director of Vocations, the different Parishes of the local Churches not only in the Archdiocese of Palo but also those of other dioceses, like Naval and Surigao where our seminarians belong, are related in a way to the SHS.


Consequently, there are those other non-religious entities that are relevant to the operations of the SHS, like the public and private Schools in the locality and the surrounding provinces, these are institutions that has to be dealt with by the SHS. Some of these schools have been attended to by the seminarians, not just by being a graduate in the past but some are being visited to in a form of an apostolate. The Business Establishments are also related to the operations of the seminary in a way. Contacts with them are indispensable in as much as the physical and material dimensions of the SHS are concerned


The Mega System


The mega system of the Sacred Heart Seminary are the related systems, which are not at all parts of the focal system but are rather components of a much larger system. Like the macro system, they are autonomous in their existence and operations, but still affect and influence the seminary. Its main difference between the macro and mega system is that the former affects the seminary in a direct manner while the latter is indirect.

The Sacred Heart Seminarys organizational development is a response to change. It is seen as a planned change within the components or the whole of the seminarys organization.
